NetSuite CSV Import

Basics

CSV import is the most commonly used method for transferring small to medium-sized data sets from other applications into NetSuite. The CSV import process saves time and prevents errors, by submitting data in a CSV (comma-separated value) file. This data can add or update many records at one time, avoiding the need for manual data entry.

Important Things to take care while preparing csv file for data import

  1. Always take the export file of the record which you want to import.
  2. Check the column names and remove if any blank column exists in the file you are willing to import.
  3. While using import assistant check if you selected the correct type of data which needs to be updated
  4. The amount in the CSV file if needs to be mapped should not contains comma, as the amount should ne in number format of csv. For this you can select the entire column and change the data format in file itself.
  5. During import take care of the form which you are about to select.
  6. You can select more than one file at a time for supported or linked record.
  7. Character encoding can be either windows 1252 or UTF-8 both are widely used.
  8. Column delimiter is usually comma as CSV is (Comma Separated Values), even that another delimiter is also present.
  9. In the import options advanced section is there where you can select multiple options
  • Log system notes for custom field: this will show information of all the custom field changes while importing. You can cross check these values from system information section.
  • Overwrite missing field: If you want to overwrite the field which are not present in the csv file which you are about to upload.
  • Validate mandatory field: This will check fi all the mandatory fields are mapped or not.
  • Overwrite Sublist: This is the most useful option while uploading Journal entries. As in Journal entries there are fields which are mandatory at line level and it don’t have line id. We will discuss this more in next tutorial

Now Field mapping

Usually if the name of the fields is same as the fields present in the NetSuite then NetSuite is smart enough to map the fields but if you are importing data from some third-party system in that case you must check each fields and map properly
